Privacy Policy

Academies trust us with details about children, families and coaches. This policy sets out what we collect, why, who can see it and how it is protected.

01Who this policy covers

This policy explains how we handle information on our academy management platform and website. It covers academy owners and staff, coaches, parents and guardians, and the players whose details academies record.

Academies decide which players and families they add and what they record. For that player and family data, the academy is responsible for the data and we process it on the academy’s instructions.

02Information we collect

Depending on how you use the platform, we may hold:

  • Academy details: name, sports offered, centres, grounds, batches and fee plans.
  • Staff and coach details: name, email, role, schedules, leave, certificates and pay settings.
  • Parent and guardian details: name, email, phone number for alerts, relationship to the player and language preference.
  • Player details: name, date of birth, batch, attendance, fitness and skill test results, coach notes and progress cards.
  • Payment records: fee plans, amounts due, payment status and receipts. Card and UPI details are handled by the payment gateway and are not stored by us.
  • Website forms: the details you send when you sign up or contact our team.
  • Technical data: device type, browser, log records and a session cookie used for security checks on forms.

03Children’s data

Most players on the platform are minors. We apply these rules for every academy:

  • A player’s details, tests, photos and progress cards are visible only to that player’s parents or guardians and the coaches assigned to the player’s batch, along with academy administrators.
  • Photos and videos of children are shared with parents only after a parent gives consent in the app. Consent can be withdrawn at any time.
  • We never use children’s data for advertising, and we never sell it.
  • Parents can ask the academy to correct or delete their child’s data, and we help academies act on these requests.

04How AI is used

AI Player Progress reads a player’s recorded tests over time and suggests a batch move or focus area. A coach reviews every suggestion before it is shared.

  • AI never selects or drops a player from a team, trial or batch. Coaches make these decisions.
  • Parents can see the tests and dates behind any suggestion on their child’s progress card.
  • Player data is not used to train models for other academies or for any third party.

05How we use information

  • To run the platform: batches, attendance, alerts, progress cards, fee reminders, receipts, rosters and events.
  • To send service messages, such as login details, absence alerts, fee reminders and important changes.
  • To respond to signup and contact requests sent through the website.
  • To keep the platform secure, prevent misuse and fix problems.
  • To improve features using aggregated information that does not identify any person.

06Sharing

We share information only where needed to provide the service:

  • Payment gateways, to process fees paid by parents to the academy.
  • Messaging and email providers, to deliver alerts and login details.
  • Hosting and infrastructure providers that store data on our behalf under contract.
  • Authorities, where the law requires it.

We do not sell personal data to anyone.

07Security

Data is encrypted in transit and at rest. Access inside an academy is controlled by roles, so a coach sees only their batches and finance staff see only what they need. Staff access on our side is limited and logged.

08Keeping and deleting data

We keep academy data while the academy has an active account. When an academy closes its account, data is deleted within 90 days unless the academy exports it first or the law requires us to keep certain records, such as payment receipts.

09Your choices and rights

  • Ask to see, correct or delete the personal data held about you or your child.
  • Withdraw consent for photos and videos at any time.
  • Choose how you receive non-essential messages from the academy.

Parents should contact their academy first for player data. You can also write to us through the Academy Office page and we will help.

10Cookies

The website uses a session cookie for form security checks. The platform uses cookies needed to keep you signed in. We do not use advertising cookies.

11Changes to this policy

If we make important changes, we will tell academy administrators by email and show a notice in the platform before the changes apply.
